WhatsApp Business for Real Estate Agents: Catalogues, Labels and Quick Replies

A setup guide to WhatsApp Business for real estate agents in India: profile, catalogue of listings, labels as a mini pipeline, quick replies and away messages that save hours.

Most property conversations in India happen on WhatsApp, yet most agents run it exactly as they ran it in 2016: one long scroll of chats, photos sent ten times a day, and a vague memory of who asked about what. WhatsApp Business for real estate agents is free, takes an evening to set up, and turns that scroll into something closer to a working system. Here is the setup I recommend, feature by feature, with the real estate use for each.

Step 1: Set up a profile that does the selling for you

Buyers check your profile before they reply. Fill it properly:

  • Business name: Your name plus what you do. "Rajan Mehta | Mohali Property" reads better than "RM Estates".
  • Category: Real estate.
  • Description: Two lines. Areas you cover, property types, your RERA number if you have one. Showing your RERA registration builds trust before the first reply.
  • Address and hours: Even if you work from home, put the sector. Hours set expectations for replies.

  • Profile photo: Your face, not a logo. People deal with people.

Step 2: Build a catalogue of your listings

The catalogue is a shop window inside WhatsApp. Each item gets a name, price, description, up to ten photos and a link. For agents it works like this:

  1. One item per active listing. Name it the way a buyer would search: "3 BHK, Sector 70, park-facing, ₹1.1 Cr".
  2. First photo is the best exterior or living room shot. Not the floor plan.
  3. Description in four lines: carpet area, floor, facing, one line about the society.
  4. Link field: the property's own page, so the buyer can see all photos, the brochure and the map, and send an enquiry that lands in your inbox with their details.
  5. Remove items the day they are sold or rented. A stale catalogue makes every other item look stale too.

Once the catalogue exists, you stop sending eight photos individually. You send one catalogue item, the buyer taps through, and the chat stays clean.

Step 3: Use labels as a mini pipeline

Labels are the most under-used feature. You can colour-tag every chat and filter by label. Set up five that mirror a sales pipeline:

  • New lead — enquired, not yet spoken to
  • Contacted — first call done, qualifying
  • Site visit — visit scheduled or completed
  • Negotiation — offer on the table
  • Closed / Lost — done, archive after a month

Add two more for people who are not buyers: Owner for sellers and landlords, and Referral source for past clients and contacts who send you business.

Every evening, filter by "New lead" and make sure nobody is stuck there. Filter by "Site visit" on Friday to confirm weekend appointments. It takes five minutes and replaces the memory game.

Labels do have limits. They do not record follow-up dates, notes or which of your team members owns the lead. Once you have more than thirty or forty active conversations, or a second person working with you, move the pipeline into a proper mini CRM and keep WhatsApp for the talking. Step 4: Write quick replies for the ten messages you send every day

Quick replies are saved messages triggered with a slash command. Type "/visit" and the full message appears. Write them once, personalise before sending. These are the ones every agent needs:

/thanks — first reply to a new enquiry "Thanks for your message about [property]. I am Rajan, the listing agent. Here is the full page with photos and price: [link]. When would suit you for a quick call?"

/visit — proposing a site visit "Would Saturday 11 am or Sunday 4 pm work for a visit? I will confirm with the owner and share the exact location."

/docs — documents for a resale buyer "For a resale flat you will want to see: sale deed, society NOC and share certificate, latest maintenance receipt, property tax receipt, and the occupancy certificate. I can arrange copies once you have shortlisted."

/loan — loan basics "Most banks look at income, existing EMIs, age and the project's approval status. Happy to connect you with a loan officer who works with my clients."

/price — handling "what is the best price?" "The owner is asking ₹[X]. There is some room, but they want a serious buyer who has seen the flat. Shall we set up a visit and then talk numbers?"

/location — directions "Location: [map link]. Gate 2 entry, visitor parking on the left. Call me when you reach."

/followup — the week-two nudge "Hi [name], a similar flat came up nearby at a slightly lower price: [link]. Worth a look if the search is still on."

/close — polite exit "I will assume the search is paused and stop sending listings unless you tell me otherwise. Here whenever you restart."

Keep them short. Edit the name and property before sending, every time. A quick reply that obviously was not personalised does more harm than a slow reply.

Step 5: Greeting and away messages

Greeting message fires when someone messages you for the first time or after fourteen days of silence. Use it to set expectations and send them somewhere useful:

"Hi, thanks for reaching out. I am usually at site visits during the day, so I may take up to an hour to reply. Meanwhile, all my current listings with photos and prices are here: [profile link]."

Away message covers evenings and Sundays:

"Thanks for your message. I am away until 9 am tomorrow and will reply first thing. If it is urgent, please call."

Together they mean no enquiry goes unacknowledged, which matters because buyers usually message two or three agents at once. A page with its own instant thank-you reply does the same job for enquiries that arrive through the page rather than WhatsApp.

Step 6: Broadcast lists, used carefully

A broadcast list sends one message to many contacts as individual chats. It only reaches people who have saved your number, which keeps it honest. Use it for:

  • A new listing that matches a group of buyers with the same brief
  • A price drop on a property several people viewed
  • A monthly "three new listings" round-up

Do not use it for daily promotions, and never add people to broadcast lists who have not dealt with you. One message a fortnight is a good ceiling.

Step 7: A daily routine that keeps it working

  • Morning, 5 minutes: Filter "New lead". Reply or call each one.
  • Midday: Send catalogue items instead of photo dumps. Label every new chat before closing it.
  • Evening, 10 minutes: Move labels forward. Note follow-up dates somewhere outside WhatsApp.
  • Friday: Confirm every "Site visit" chat for the weekend.
  • Month end: Archive "Closed / Lost" chats, remove sold items from the catalogue.

What WhatsApp Business still cannot do

It will not tell you which ad brought a lead, it will not share leads with a team member without forwarding, and it will not remind you that a follow-up is overdue. For a solo agent with a dozen active buyers, that is fine. For anyone running a small team or spending money on ads, pair it with a leads inbox and mini CRM that records source, stage, owner and next follow-up, and treat WhatsApp as the conversation layer on top. Set up well, the two together handle more conversations than most agents think possible without hiring anyone.
