Automating Lead Replies Without Sounding Like a Bot

How to automate lead replies for property enquiries so buyers get an instant, human-sounding response while you are on a site visit. Scripts and rules included.

You are halfway through a site visit in Sector 70, phone on silent, when a buyer submits an enquiry on your listing. By the time you check, forty minutes have passed. They have already messaged two other agents. This is the problem that automating lead replies solves, and it is also where most agents go wrong: they switch on a canned message that reads like a telecom company and wonder why buyers stop responding.

The goal is not to replace yourself. It is to make sure the first ten seconds after an enquiry feel attentive, and that the next three days do not go silent if you are busy. Here is how to do that without sounding like a machine.

Why automating lead replies matters more than you think

Property buyers in India usually enquire on three to five listings in one sitting. Whoever answers first, with something useful, becomes the default agent for that buyer. The others become "the ones who never replied". You do not need a perfect reply in that window; you need a fast, specific, human one.

Automation handles the speed. Your wording handles the human part.

The three rules of a reply that does not sound like a bot

1. Write it the way you would type it

Read your auto reply out loud. If it contains the phrases "Dear valued customer", "Thank you for reaching out", or "Our team will get back to you shortly", delete it and start again. Write the way you would on WhatsApp to a real person.

Bad:

Thank you for your interest. Our representative will contact you shortly.

Better:

Hi, this is Gurjeet. Got your enquiry on the 3 BHK in Sector 70 — it is still available, and the owner is open to a visit this week. I am with a client right now and will call you within the hour. If you prefer a particular time, just reply here.

The second one is longer, but it answers the buyer's actual question (is it available?), sets an expectation (within the hour) and gives them a way to steer (reply with a time).

2. Use one real detail from the listing

A generic reply is obvious. A reply that names the property, the sector, the configuration or the price band feels written for them. Most lead tools let you insert the property title automatically; use that and add one line per listing if you can. For a plot listing, mention road width or the approval status. For a flat, mention the floor or the possession status.

3. Promise a human, and name the time

The automated reply should never pretend to be the final answer. It is a bridge. End it with a concrete next step: "I will call you by 6 pm", "I will send the brochure PDF in the next message", "Site visits are possible Saturday and Sunday, tell me which suits you".

Then keep that promise. An auto reply that says "within the hour" followed by a two-day silence does more damage than no reply at all.

A simple reply sequence that works

You do not need a complicated flow. A three-touch sequence covers most situations.

Touch 0 — instant (automated). The acknowledgement above. Confirms the property, gives one detail, promises a call.

Touch 1 — day 1 (automated if you have not marked the lead contacted). A short nudge with something useful attached: the brochure, the floor plan, or a one-line answer to the most common question about that property.

Hi again. Sharing the brochure for the Sector 70 flat so you have the floor plan and the payment schedule handy. Happy to walk you through it on a call — what time works today or tomorrow?

Touch 2 — day 3 (automated if still not contacted). A low-pressure check-in that gives them an easy out and an easy in.

Just checking whether the Sector 70 flat is still on your list. If the budget or location has shifted, tell me what you are looking for and I will send two or three options that fit. If not the right time, no problem — reply STOP and I will not follow up.

After that, automation stops. Anything further should be a person with a reason to message: a price revision, a new unit in the same tower, a site-visit slot.

Where agents go wrong

  • Sending the same text to every lead type. A rental enquiry, a plot buyer and an NRI investor need different first lines. Write three versions and assign them per listing.
  • Auto-replying with a question that needs a human answer. If your message asks "What is your budget?" and the buyer replies, someone has to read it. Only ask questions you will actually act on within the day.
  • Hiding that it is automated when the timing makes it obvious. A reply at 2:14 am that says "I just saw your message" is not believable. "This is an automatic note to confirm I received your enquiry — I will call you after 9 am" is honest and perfectly fine.
  • Never marking the lead contacted. If you called the buyer but forgot to update the lead, the day-3 message goes out anyway and confuses them. Build the habit: call, then tap contacted. A basic CRM pipeline for property leads makes this a one-tap job.
  • Sending follow-ups with nothing new. "Just following up" is the most deleted message in real estate. Attach, answer or offer.

Hi, [Your name] here. Got your enquiry on the [200 sq yd plot, Sector 115]. It is a [GMADA-allotted / society] plot on a [40 ft] road, [east] facing. I will call you by [time] with the exact location and papers status.

Day-3 check-in — any listing

Hi [Name], last note from my side on [property]. If it is not the right fit, tell me what is — budget, sector, size — and I will send two options that match. Otherwise, all the best with the search.

Measuring whether it is working

You do not need a dashboard for this. Watch three things over a month:

  1. Reply rate to the instant message. If fewer than a third of leads reply or pick up your call, the message is probably too generic or the promised call is not happening.
  2. How many leads you mark contacted within 24 hours. This is the number that matters. Automation buys time; it does not close deals.
  3. Complaints or STOP replies. A few are normal. Many means the sequence is too pushy or the wording is off.

Not if it is honest and useful. A reply that confirms the property, gives one concrete detail and promises a personal call within a stated time reads as organised, not robotic. Buyers are annoyed by silence, not by speed.

How many automated follow-ups are too many?

Two or three over the first week is plenty. Beyond that, every message should be sent by a human with something new to say, such as a price change or a site-visit slot.

Should the auto reply go on WhatsApp or email?

Use whichever channel the lead came through. If the enquiry came from a property page form with an email address, email works well; if they messaged on WhatsApp, reply there. Never switch channels without asking.
