The 5-Minute Rule: Why Speed to Lead Decides Who Gets the Deal

Speed to lead is the quiet reason some agents close and others chase. Here is the 5-minute rule, why it works in Indian real estate, and how to hit it daily.

A buyer sees your plot listing at 9:40 pm, sends an enquiry, and puts the phone down to have dinner. By 9:46 pm another agent, whose listing was two scrolls below yours, has already messaged them: "Hi Rahul, thanks for asking about the 200 sq yd plot in Sector 91. Are you looking for self-use or investment?" By the time you call the next morning at 11, that buyer has a site visit booked for Sunday. With someone else.

This is speed to lead, and in Indian real estate it decides more deals than your photos, your price or your portal ranking. The 5-minute rule is simple: make first contact within five minutes of an enquiry landing. It sounds extreme until you understand why it works.

Why speed to lead matters more than you think

A property enquiry is not a considered decision. It is a moment. The buyer is on a portal, a Facebook group or your property page, scrolling through eight similar listings, and they tap "enquire" on three or four of them in the same sitting. Whoever replies first becomes the agent the buyer is "talking to". Everyone after that is a second opinion.

Three things happen in the minutes after an enquiry:

  • Attention fades. The buyer moves on to the next listing, then to dinner, then to a cricket match. Your reply the next morning arrives into a different mental state.
  • Competitors reply. The same buyer has almost certainly enquired elsewhere. The first agent to reply sets the frame: what area, what budget, what day for a visit.
  • Trust forms. A fast reply says "this agent is active, this listing is real". A slow one says "maybe this plot is already sold, maybe this number is dead".

None of this requires a study to prove. Ask yourself how you behave when you enquire about anything on WhatsApp. You talk to the person who answers.

What "first contact" actually means

Speed to lead does not mean you must have a full conversation inside five minutes. It means the buyer must hear from you. That can be:

  1. A phone call (best, if the enquiry came with a number and it is a reasonable hour).
  2. A personal WhatsApp message (nearly as good, and better after 9 pm).
  3. An instant automatic reply written in your voice, followed by a personal message or call as soon as you are free.

The third option is how agents who do four site visits a day still hit the rule. You will not always be free. But the buyer should never be left reading silence.

A first-contact message that works

Keep it short, specific and end with a question. Something like:

"Hi Priya, Gurjeet here. Thanks for enquiring about the 3 BHK in Sector 115 Mohali. Quick question so I send you the right details: are you looking to move in within 3 months or is this for investment?"

Notice it names the property (proves the listing is real), names you (builds a person, not a portal), and asks one easy question (gets a reply). Do not send a brochure and five photos as your opening. That is a monologue; you want a conversation.

The honest reasons agents miss the 5-minute window

Most agents agree with the rule and still miss it. The usual causes:

  • Enquiries land in too many places. Portal app, Facebook Messenger, Instagram DMs, two phone numbers, email. By the time you check them all, an hour has gone.
  • No notification. The enquiry sat in an inbox you open twice a day.
  • Site visits and driving. You are physically unable to type for 90 minutes.
  • After-hours enquiries. A lot of serious buyers browse between 9 pm and midnight, after the children are asleep. Many agents are asleep too.
  • "I'll call them properly later." The intention to do it well becomes the reason it is not done at all.

Each of these has a fix, and none of the fixes is expensive.

How to hit the 5-minute rule every day

1. Funnel enquiries into one place

Stop advertising six contact points. Put one WhatsApp number and one enquiry form on everything you share. 3. Write your instant reply once, properly

Between site visits, a 20-second voice note beats a typed message you never send. "Hi Amit, saw your enquiry, I'm just finishing a visit in Zirakpur, will call you in 40 minutes. Is that okay or is evening better?"

5. Decide your after-hours policy

You do not have to call at 11 pm. But an instant reply at 11 pm that promises a 9 am call, and a 9 am call that actually happens, beats most of your competition, who will call at noon if at all.

6. Measure it for one week

Write down the time each enquiry came in and the time you first responded. Most agents who do this are shocked. The median is often measured in hours, not minutes. You cannot fix what you have not looked at.

What to do in the first call

Speed gets you the conversation. The first call decides whether it becomes a site visit. Keep it under five minutes and cover:

  • Confirm the property interest. "You enquired on the 3 BHK in Sector 115, is that right?"
  • One qualifying question. Timeline or budget, not both, not yet.
  • One helpful fact they could not get from the listing. "The society has two lifts per tower and the school bus stops at the gate."
  • Propose a visit with two options. "I'm showing it Saturday at 11 and Sunday at 4. Which suits you?"

If they are not ready, agree a follow-up date and put it in your CRM or notes immediately. How often to follow up after that is its own skill; see how many times you should follow up with a property lead.

Speed to lead for small teams

If you have two or three salespeople, the rule gets harder, not easier, because nobody is sure whose lead it is. The fix is assignment: every enquiry is owned by one person within minutes, and that person's name is visible to the rest of the team.
