Tenant Move-In Checklist

An hour on day one decides the deposit argument on the last day.

Almost every dispute about a security deposit is a dispute about what the flat looked like when the tenant moved in, held between two people with no evidence and opposite memories. The tenant remembers the stained wall; the landlord remembers a freshly painted one. Whoever has photographs with a date generally prevails.

Spend an hour on the first day, before the furniture arrives. Photograph everything, note every defect in writing, and get the list signed or at least acknowledged on WhatsApp by the landlord. It is an awkward conversation for ten minutes and it settles the last day of the tenancy.

The template — this is exactly what you download

Paperwork before the keys

  • Signed rent agreement in your hand, with every page initialled
  • Receipt for the security deposit, stating the amount and that it is a deposit
  • Receipt for any advance rent paid
  • Landlord’s name, phone number and address recorded
  • Confirmation of who to contact for repairs, and how
  • What the rent includes, and what is billed separately, written down
  • Date rent is due each month and the payment method agreed

Photograph and record

Photograph with the date visible on the phone and keep the originals, not screenshots.

  • Every room, wide shot from each corner
  • Every wall that has a mark, stain, crack or repair
  • Floor and skirting in each room, especially near the bathroom and kitchen
  • Ceiling corners and the wall below every window for seepage marks
  • Inside every cupboard and wardrobe
  • Kitchen platform, sink, chimney and any fitted appliance
  • Every bathroom: tiles, fittings, mirror, geyser, taps and drainage
  • Balcony floor, railing and grille
  • Main door, every internal door, and the condition of locks and handles

Test, do not assume

  • Every light switch and every ceiling fan, one by one
  • Every power socket with a phone charger
  • Geyser in each bathroom, for hot water and for leaks
  • All taps and the flush in each bathroom
  • Drainage: fill and empty each sink and check the floor trap
  • Water pressure, and the supply hours from the society or corporation
  • Inverter or backup, and what it runs
  • Air conditioners, if provided, on cooling for ten minutes
  • Window and door locks, and any grille latch
  • Doorbell and intercom

Meters and inventory

  • Electricity meter reading, photographed with the meter number visible
  • Water meter reading, where separately metered
  • Gas connection: piped meter reading, or the cylinder and its regulator
  • Number of keys received for each lock, and for the main gate
  • Parking tag, sticker or fob, and the bay number
  • Inventory of furniture and appliances provided, with condition noted against each
  • Curtains, rods, mosquito mesh and any fitting that is expected back

Building and society

  • Society rules that apply to tenants, in writing if they exist
  • Whether tenants may use the amenities, and any charge
  • Restrictions on moving in and out, and the hours permitted
  • Waste collection timing and where the bins are
  • Water supply schedule and any tanker arrangement
  • Whom to call for a lift or common area problem
  • Whether police verification has been filed, and by whom

Close the loop

  • Write the defect list and send it to the landlord the same day
  • Send the photographs with it, on a channel that keeps a timestamp
  • Ask for written acknowledgement, and keep the reply
  • Agree in writing which defects the landlord will fix, and by when
  • Keep everything in one folder with the agreement
Check this locally. This template is a general starting point, not legal or tax advice. Stamp duty, registration charges, tax thresholds and notice periods are set by each state and change from year to year, so no rate or limit is stated here. Confirm the current position with the sub-registrar for the property, your state revenue portal or a qualified professional before you sign, pay or serve anything.

Send it the same day

A defect list sent on the day of handover is a record. The same list sent three weeks later is an allegation, and the landlord is entitled to ask what happened in between. Photographs and a message on the day of the keys are the cheapest protection available to a tenant.

Photograph the meters with the numbers visible

Meter disputes are common and entirely avoidable. One photograph showing the reading and the meter serial number, taken before you switch anything on, settles the first bill and the last one. Do the same for a gas cylinder and its regulator.

Get the acknowledgement, not just delivery

A message that was delivered proves it was sent. A reply saying "noted, will fix the bathroom tap" proves it was accepted. Ask a question that requires an answer — which defects will be attended to, and when — so you get a reply rather than a read receipt.

Common questions

The landlord will not sign a defect list. What can I do?

Send it anyway, by a method that records the time, and ask a direct question that invites a reply. A WhatsApp message with photographs and a response of any kind is good evidence. Note in your own file that a signature was requested and declined, and keep the original photographs rather than screenshots.

Should I record a video instead of photographs?

Do both. A walkthrough video captures the flat as a whole and is hard to argue with, while individual photographs let you point at one mark on one wall later. Keep both in original form, since compression on a forwarded file strips the data that makes them useful.

How long should I keep the move-in record?

Until the deposit has been returned and any dispute about it is finished, and for a reasonable period after that. The record only matters on the last day of the tenancy, which may be several years away, so put it somewhere that will survive a phone being replaced.

Put your number on the page that answers the question

Buyers remember whoever gave them the answer. A property page of your own carries this calculator, your listings and a WhatsApp button, so the next question comes to you.
