Portal Subscription ROI Calculator
Measure what a property portal subscription returns by tracing valuations through instructions to completed sales and fee income.

Send this calculator to your buyers on your own branded listing page — every enquiry comes straight to your WhatsApp. Create free agent page →Portal subscriptions are among the largest fixed costs an agency carries and among the least examined, because the invoice arrives monthly whether or not anyone traces where the instructions came from.
The chain from portal to fee runs through valuations and instructions, and each stage has its own conversion rate. Following it end to end is what turns a large recurring cost into a measurable one.
The chain
Valuations from the portal convert to instructions at one rate, and instructions convert to completed sales at another. Multiply through to get sales, multiply by the average fee for attributed income, and compare against the annual subscription cost.
Worked example
A portal costing 2,400 a month is 28,800 a year. Sixty valuations converting at 30% gives 18 instructions, of which 67% complete — 12.06 sales. At a 4,500 average fee that is 54,270 of income, a return of 88.4% on the spend, at 1,600 per instruction and 2,388 per completed sale.
Ask every caller where they found you
The whole calculation depends on attributing valuations correctly, and buyers and sellers rarely volunteer it. A single required field at first contact, filled in consistently, is what makes the difference between measuring this and guessing at it.

How do I attribute valuations to a portal?
Ask at first contact and record it in one place every time. It is imperfect, since people see several sources before calling, but a consistently applied question is far better than an assumption.
What if the return looks poor?
Check the instruction conversion before cancelling. Portals generate the enquiry; whether it becomes an instruction depends on your valuation appointment. A weak conversion is usually cheaper to fix than the subscription is to replace.
Should I compare portals against each other?
Yes, on cost per instruction rather than cost per enquiry. A cheaper portal generating enquiries that never instruct is more expensive than a costly one that converts.
